It started with hands-on experience.

This year, I have been taking time to slowly retrace and organize the traces of my journey so far. I felt that the person I am today did not come into being overnight, but grew out of layers of people I have met, projects I have worked on, sentences I have written, and activities I have chosen.

In that process, I came to a new realization. Past records are not simply memories that preserve time gone by; they are the context that helps me understand what I am doing now. That is why I want the records and activities I accumulate from here on to connect in a shared direction, rather than remain isolated. I wanted to create a flow in which today's meeting leads to the next proposal, a judgment made on an old project finds a new use in a brand strategy, and a conversation with one person becomes the starting point for the next collaboration.

The problem was not that I failed to keep records. I kept leaving thoughts in Telegram, appointments in my calendar, business cards in my photo library, and longer materials in Notion. But those records were scattered across separate tools, and I had no sense that they were connected. Whenever I needed context, I depended on memory and search, repeatedly doing the same organizing and explaining I had already done.

So instead of looking for ways to record more, I began looking for ways to make the records I already had explain one another and become useful again when needed. That is how I came to build a personal ontology system. It is not an archive that gathers everything in one place. It is a personal operating system that records relationships among people, projects, decisions, schedules, and ideas, allowing me to retrieve context when I need it and turn it into next actions and more efficient results.

Why Ontology?

I chose ontology not to classify my records better, but to preserve the relationships among scattered records. Changing note-taking apps and adding folders only changed where things were stored. I still had to rely on memory to know which person and project a record came from and what it would lead to next. What I needed was not a bigger archive, but a structure in which records could explain one another.

A folder usually puts a record in one place, but the context of real work does not fall into just one category. A note that says, 'I discussed the rebranding proposal with Minji and agreed to send a revision on Friday' connects simultaneously to the person 'Minji,' the project 'rebranding,' the decision 'revise the proposal,' and the next action 'send on Friday.' Ontology suited my problem because it lets me keep a single original record intact while preserving several relationships around it.

When you look up 'Minji,' you can see not only contact details but also related projects, conversations, decisions, and upcoming appointments.

Once relationships are recorded, the way I search changes too. Instead of hunting for a file by asking, 'Where are the minutes from the last meeting?' I can ask, 'What was the last decision we made on this project, and what do we need to do next?' In a personal system, I can apply that approach on a scale no larger than my work requires.

Unlike a search that retrieves a single document, relationships let you bring together decisions and their reasons from multiple meeting notes and materials.

This structure also matters for how I use AI going forward. AI can summarize records and recommend related items, but it needs a consistent frame of reference to understand accurately whose story a piece of information belongs to and which decision it came from. When I preserve original records and sources and personally verify important relationships, AI can become more than a tool for organizing notes: it can understand my context and help with my next actions.

6 Steps to Building a Personal Ontology System

Start with the questions you repeatedly ask, rather than choosing a tool first, and you can build the smallest structure you need.

    Question

    First, define the moments when you want to retrieve and use your records.

    What you want to retrieve later, rather than what you want to store, determines the structure of the system.

    If you start with storage, it is easy to end up with just another archive. Write down the questions you actually return to, such as 'What should I do today?', 'What did I last decide with this person?', or 'Which project could use this idea?' Only then can you decide which records and relationships to keep.

    Capture

    Even with your laptop turned off, you should be able to leave a thought and give instructions for the next task using only your phone.

    Choose one place as the entrance to your system where you can immediately send text, voice messages, photos, and links, even when you are out or on the move. A tool you already use every day works well, such as Telegram, email, or an inbox that opens quickly on mobile. This is not a place to store all your information; it is an entry point that passes records and instructions into the system without losing them.

As personal AI becomes more widespread, everyone will be using the same models. What makes the difference then is the context of the perspectives, relationships, and choices I have accumulated throughout my life. My records need to be connected for AI to suggest a next action that feels like me, rather than a generic answer on my behalf.

The measure of success for a personal ontology system is not its node count. It is whether meeting preparation takes less time, whether I stop repeating the same explanations, and whether past judgments find new use in today's content and proposals. Only when records create direction and return as tangible results is the system truly working.
